Booking Conditions

By completing the Embrace Sports booking form you and any other persons travelling with you confirm your acceptance with the terms and conditions set out below.

The individual the booking is completed for or party leader should be aged 18 or over at the time of placing the booking.

When the booking form and deposit have been received Embrace Sports will send a confirmation email which will be the formal acceptance of the booking and represents an agreement by both parties to be bound by these terms and conditions.

A non-refundable deposit of £100 per person is required when booking.

Full payment is due 6 weeks before traveling. If your holiday is booked with less than 6 weeks to go before you travel, full payment will be due when booking.

If final payments are not made within these timescales Embrace Sports reserve the right to treat the booking as cancelled and deposits will be retained.


Cancellation and changes by customers:
If the individual cancels the booking 4 to 6 weeks before the start date they will be entitles to a 50% refund. If the individual cancels the booking 2 to 4 weeks before the start date they will be entitles to a 25% refund. If the individual cancels the booking less than 2 weeks before the start date, no refund will be offered.

Changes in holiday dates after booking are not possible unless otherwise agreed with Embrace Sports.

Accommodation unavailability:
We reserve the right to cancel any bookings should the accommodation become unavailable due to reasons outside of our control. Our liability will be limited to a full refund of any monies paid directly to Embrace Sports.

Embrace Cancellation:
In the unlikely event that the holiday is cancelled by Embrace Sports, the full payment, including deposit, will be refunded immediately. Embrace Sports do not refund third party costs.

Flights and trains:
Flights are not included. Embrace Sports has no part in the contract between you and the airline. It is your responsibility and cost to get to the airport or train station specified by Embrace Sports for each location.

Accommodation

Check in and out:
When arriving at the accommodation your rooms will be available not later than 2pm. On the day of departure, you will need to vacate your rooms by 11am unless otherwise agreed with Embrace Sports. If your transfer is later then you will still have access to the communal areas at the accommodation.

Cleanliness and Damage:
When booking on our trips we ask individuals to abide by a general housekeeping etiquette that is provided in the holiday guide and made available at the accommodation. Your rooms should be left in a similar condition to how it was first entered. Any excess cleaning costs or damage costs will be subject to charge at cost.

Accommodation Terms & Conditions:
The accommodation providers may have additional terms and conditions that you agree to abide by. A copy of these additional terms will be available at the accommodation.

Wavier

When accepting these terms and conditions you also confirm your agreement with the following waivers:

I understand that participating in this trip is potentially hazardous, and that I should not enter and participate unless I am medically able and properly trained. – In consideration of the acceptance of this booking, I assume full and complete responsibility for any injury, illness or accident which may occur while I am travelling to or from the trip, during the trip, or while I am on the premises of the trip. – I also am aware of and assume all risks associated with participating in this trip, including but not limited to falls, contact with other participants, tourists and local residents, catering, transportation services, theft, effect of weather, traffic, and conditions of the road. I, for myself and my heirs and executors, hereby waive, release and forever discharge the trip organizers, sponsors, promoters and each of their agents, representatives, successors and assigns, and all other persons associated with the trip, for all my liabilities, claims, actions, or damages that I may have against them arising out of or in any way connected with my participation in this trip. – I understand that this waiver includes any claims, whether caused by negligence, the action or inaction of any of the above parties, or otherwise. – I hereby grant full permission to any and all of the above parties to use any photographs, videotapes, motion pictures, website images, recordings or any other record of this trip.

Catering and Cleaning

Food and Drink Provided:
Embrace will provide a good selection of food and drink products for your consumption at the accommodation for your breakfast and lunch. These are not prepared, just provided.

Dinner:
In the evening you will have a prepared meal.

Dietary Requirements:
It is the individuals’ obligation to make sure that Embrace Sports are fully aware of any dietary requirements and that each meal meets these requirements.

Liability:
We cannot be held liable for any illness resulting from the food consumed on the trip, the catering services provided on the trip or by any 3rd party restaurants.

Evening out:
Two nights of the holiday are at local restaurants and are at your cost. We have found very good value and well recommended restaurants. If you wish to eat out other nights that is fine but it will be at your cost. If you wish to eat in that night, that is also fine but you will need to purchase and cook your meal.

Transport

Transfers:
Embrace Sports will provide transfers to and from the accommodation on the first and last day of the holiday and only from the specified airport or train station. For arrivals the transfers run from 8am to 6pm. For departures our transfers run from 6:30am to 6pm. Transfers outside of these days and times can be arranged but are at an extra cost and usually an airport shuttle service.

General

Services:
Embrace Sports provide the services from the holiday start date to the holiday end date. If you arrive earlier or depart later no additional services are offered.

Risk and Injury:
You should recognise the inherent risks in the activities you will be participating in and agree to accept complete responsibility for any injury, damage or loss caused by you as a result of participation in those activities.

It is your responsibility bring the correct clothing and equipment to take part in the activities. Your equipment is also your responsibility and should be in fully working and safe order.

Health:
Bookings are taken on the understanding that any person/s participating in a holiday with Embrace Sports are in good health and have an appropriate level of fitness for the level of running and sports undertaken. In any event Embrace Sports will not be held liable for any injury caused whilst engaging in any activity. If recovering from a major operation, you should obtain a certificate stating you are fit for this type of holiday.

Insurance:
Clients must have a comprehensive and valid multi sports insurance policy in place when they arrive and during their stay with Embrace Sports. This policy should include emergency medical care, cover for personal injury, including cover for all activities, including water activities, loss or damage to your luggage, loss or damage to equipment hired or borrowed from us or third parties, repatriation, legal expenses cover and expenses associated with cancellation or curtailment of their booking. You should be in possession of an up to date EHIC card available from your local post office before travelling abroad.

Force Majeure:
We regret we cannot accept liability, pay compensation or refunds where the performance of our obligations are affected by Force Majeure. Force Majeure means any event which we or any of our 3rd party suppliers of the services provided on our trips could not foresee or avoid. Such events may include war, terrorist activity, adverse weather conditions, fire, health concerns and all similar events outside of our control.

Excursions:
You partake in all 3rd party excursions at your own risk and subject to any terms and conditions they may specify.

Complaints:
Please make complaints directly to the representatives so they can act to try and remedy any issues you may have that fall in line with the terms and conditions detailed here.

Behaviour:
We expect all clients to have due consideration for all other people both on the holiday and in the locality of doing so. You must refrain from any conduct that may cause distress, danger, offence, annoyance and/or damage to any person or which risks damage to property belonging to others. Failure to do so may lead to you being personally liable to such third party or the owner of the property.

Note:
These terms and conditions may be updated by Embrace Sports at any time and will be made available on the internet.

Equipment Hire

Bikes:
Where customers are hiring bikes that Embrace Sports have hired from local suppliers (we will let you know if this is the case), the customer will need to abide by the terms of hire of that supplier and will be liable for any resulting costs or action should there be any issues while on the trip.

When hiring bikes that are owned by Embrace Sports the customer will only be liable for any costs of repair resulting from damage the bike has incurred while in the care of the customer or should the bike be stolen while outside of the villa and not secured with the supplied locks. If the bikes are stolen the customer will need to report the crime. Embrace Sports staff will be on hand to advice accordingly.

The customer should check that the hire bike meets their requirements and make sure that it is suitable, safe and ready for them to ride. Embrace Sports will provide help if required.

Wetsuits:
When hiring wetsuits from Embrace Sports the customer will only be liable for any costs of repair resulting from damage the wetsuit has incurred while in the care of the customer.
